This Privacy Policy explains how Balance ("we", "us" and "our") handles personal information when you use our website, mobile application and related services. Please read it together with our Terms & Conditions.

Information we collect

Depending on the features you use, we collect information directly from you, from services you choose to connect and automatically when you use our services, including:

  • Account and profile information: your name, email address, phone number, password and, where requested, address, date of birth, gender, company, department, employee number and T-shirt size.
  • Service activity: bookings, appointments, event participation, webinar registrations, reward points and redemptions.
  • Fitness and activity information: activity names and identifiers, start and end times, duration, distance, step counts, calories and goals, where supplied by the app or a connected fitness service. For Strava connections, we also store connection tokens and the activity details returned by Strava for imported runs.
  • Communications: information you submit when you contact us or request support.
  • Technical information: session identifiers and technical records generated when you access our services, which may include IP addresses, browser details and access times.

How we use your information

We use this information to create and manage your account, authenticate access, arrange bookings and appointments, administer events and rewards, display connected activity records, respond to enquiries and send service-related updates. We also use relevant records to investigate errors, prevent misuse and maintain our services.

We aim to collect only the information needed for these purposes and request your consent where required. You can choose not to provide optional information or connect an external service. Features that depend on that information may then be unavailable.

When information is shared

We do not sell your personal information. Information needed to fulfil a service may be made available to the relevant consultant, event organiser or service provider supporting that service. We may also disclose information where required by law or where necessary to investigate misuse or protect users and our services. Connected services handle information under their own privacy policies.

Administrators with the relevant permissions can view and export individual fitness records for service administration. Access to and disclosure of information received from Google remain subject to the additional restrictions below.

Google API services and limited use

When you authorise a Google connection, we use the information received to provide the connected features you select. Our handling of Google API data follows the Google API Services User Data Policy, including its Limited Use requirements.

These restrictions also apply to data derived from Google data. We use it only to provide or improve prominent features you can see and use. We do not sell it or use or transfer it for advertising, credit assessments or lending. Transfers are limited to delivering or improving these features with your consent, security purposes, legal obligations, or a merger, acquisition or sale of assets with your explicit prior consent. People may read this data only with your affirmative agreement to access specific data, for security purposes, to meet legal requirements, or for lawful internal operations using aggregated data.

You can revoke access through your Google Account permissions. Revoking access stops future access through that connection; contact us to request deletion of information already stored by Balance.

Cookies and external services

Our website uses cookies to maintain sessions, support sign-in and protect forms. You can control cookies in your browser, although disabling them may prevent some features from working. External resources and linked services may receive technical information when your browser connects to them. Their own privacy policies explain their practices.

Storage, security and retention

Information is stored in the systems used to operate Balance and its supporting services. We restrict access through account authentication and permissions. No online service can guarantee complete security. We retain information for the purposes described in this policy, including necessary service records, dispute handling and applicable legal obligations. Retention depends on the type of record and why it is needed.

Your choices and deletion requests

You can update available profile details through your account and manage permissions for connected services through the relevant provider. To request access to, correction of or deletion of your personal information, or to withdraw consent, contact us using the details below. We may need to verify your identity before acting on a request.

You can also submit an account deletion request. Deletion requests are reviewed; submitting a request does not immediately erase your account. Some records may need to be retained for legal obligations or unresolved disputes. Withdrawing consent may affect services that depend on the information concerned.

Changes to this policy

We may update this policy to reflect changes to our services or information practices. Updates will be published on this page. Where additional notice or renewed consent is required, we will provide it before using your information for the new purpose.
